Silos No More: Tap into Connectivity and Process Improvement with ASG

As companies invest in systems to fuel digital transformation and improve business processes, they are running into several reoccurring issues. Today, many mission-critical business processes are both content-rich and require a lot of information governance – especially in industries such as financial services, insurance, retail and healthcare. If organizations want to improve “lightweight” processes, they can reach for an off-the-shelf solution. However, if they need to solve a breadth of problems, they will need to partner with a trusted vendor.

What specific issues are enterprises dealing with most? They typically fall into two categories:

  1. Information silos. Information siloes occur in several areas. For instance, an organization may have content in SharePoint, a reliable and proven content management system or a back-office systems. A less experienced practitioner may suggest bringing the information together all in one place. However, each system stores information differently, and organizations have built business processes around how data goes into those systems. Changing those applications and back-end systems and asking every user to change their workflow is costly and challenging. At the same time, what stops many organizations from bridging these silos are concerns around access control. They must ensure access to sensitive information (e.g., checks, contracts) is only granted to necessary parties, but there isn’t a uniform way to provide a security model – at least not one that’s well managed.
  1. Need for process improvement. Many organizations are looking to improve processes for two reasons: lowering the cost of sharing and automating information, and improving customer and partner experiences. For instance, an insurance company may want to expedite the selling process – from quoting to contract signing – to make sure they get to customers faster than their competitors. Ultimately, this improvement reduces friction, wins more business and improves the bottom line. However, modernizing processes is also hindered by silos. Organizations are also struggling to bring together processes in a way that ensures security is well managed.

Here’s an example. There may be a customer service agent based in Europe, who serves people asking for information outside of the EU. With the GDPR, the agent’s organization needs to carefully manage those requests and make sure they go through a special approval process. Fortunately, ASG’s unified API can provide governance for information requests. If someone outside the specified geography, role or even time of day makes a request, the customer service agent can specify business rules within Mobius, which trigger business processes to allow/disallow access to content. Users who are managing information governance are then equipped with granular, uniform control over access and governance no matter where data lives – which simplifies the role of integrators as they put together new systems and new business processes.
