Four Strategies to Navigate the Hybrid World of Content Management

In order to make meaningful progress while keeping up with the pace of business, companies have to find a flexible, easy-to-access approach to information retrieval and use. In a commissioned study by Forrester, we found that companies are struggling to derive value from legacy content and storage systems. Additionally, the shift to cloud services for new applications means a faster pace of change.

Access to enterprise content in the context of business activity is crucial; fresh, modern approaches are now essential. The challenges of regulatory and security requirements, mobile accessibility, and limitations on legacy systems have many businesses employing multiple repositories and content solutions. These duplicitous systems lead to disjointed information with hard-to-access retrieval and use. Among the key findings within the Forrester study, we learned that of the 220 respondents, 31% are using five or more systems to manage enterprise content.

Disparate approaches to information retrieval, document management, and accessibility to content are all pain points within traditional enterprise content management (ECM). The best way to prepare, adapt and evolve past ECM in this new world of content management is to follow these four strategies:
  1. 1. Recognize that technologies alone do not solve the problem of getting content into the right hands when organizations are making business decisions. ECM software is fading. Today’s content solutions connect people with the business and transactional content they need to make decisions, disseminate knowledge and collaborate with customers and colleagues.
  2. 2. Look for purpose-built, decoupled content solution architectures, such as Mobius to manage content.  Build your content infrastructure for a mobile-first workforce and look for platforms that expose specific ECM capabilities as services rather than fully formed features. 
  3. 3. Seek vendors that deliver transparent, contextual access to the content, eliminating the need for the user to know where the asset is stored. Content should be delivered to the users’ workflow through an intuitive process offering the user options through a policy controlled “learning” process.
  4. 4. Understand and utilize granular policy management for content assets. Creating a policy wrapper from ingestion and access through control/compliance and lifecycle management,  will enable governance for the content within your business.
 
It’s important for businesses to understand the value of a content solution platform that gives employees access to any type of content, at any time, and is deployable on-premise, in the cloud, or in a hybrid model.
